Overview

We are excited to offer the opportunity for you to utilize the Connect Studio equipped as a Zoom Room for your courses and/or meetings!  What is a Zoom Room? A Zoom Room is a software based system which integrates with a classroom’s equipment.  This gives instructors a way to better coordinate their visual collaboration while utilizing the front ActivPanels,  computer sharing, whiteboarding, and annotation resources.  This provides an integrated experience for your virtual, blended, or face-to-face meetings.  

Running Zoom Room Meetings

The Zoom Room will be unlocked prior to your scheduled meeting.  If you arrive prior to the room being opened, please pick up a key. 

Key Pick-up

If you need a Connect Studio key, it may be picked up from  in WH 101 or WH129.
  1. Turn on the lights.
  2. Turn on the back monitors using the NEC remote (green button).
  3. Tap the two ActivPanel screens in the front of the room. If they are not on, push the middle button for each.
    The left screen should be blue, the right screen should be blue with Zoom icon options
  4. If you will be using the podium computer, check that it is on. If it is not, look on the right side of the podium for the power button.

  5. To display the computer, tap the bottom arrow (^) on the left panel.
    This will open the apps window.

  6. Select the locker icon.

  7. Swipe left and select HDMI IN.
    This will display the Android screen.

  8. Repeat these steps again. [^, locker icon, HDMI In]
    The podium computer should now be displayed on the left panel.
  9. When in a meeting, if the cameras do not turn on automatically, use the camera remote (Vaddio) to turn them on. 
    Blue light means that the camera is on.
  • Equipment – All equipment should be on when you arrive, if not, see Room Setup (above).
  • Join Meeting – To join a Zoom meeting you already created, tap “join” on the right ActivPanel screen in the front of the room. 
    This will provide the option to type in your Zoom meeting ID.
  • Instant Meet – To create a new Zoom meeting, tap “New Meeting”. 
    This will instantly open a Zoom meeting and allow you to start inviting participants.

Sharing the Computer Screen with a Zoom Meeting Started

After you have started your Zoom meeting, you can display the computer by
selecting the “Share Content” found on the meeting control which is located on the
bottom middle of the screen.
 
This opens a window with sharing options. Select “desktop” and “share screen”.
 
Once you are sharing, the front right panel and the two back monitors should display the computer screen.
 
The Zoom participants will also move to the left front panel.

Do you need a second option to dsplay the computer screen? Below is a alternate way to accomplish this task.
 
You can also share the screen locally by tapping the “Local PC” icon.
 
This will bring up a
window. Then just select “share to meeting”.

Sharing the Computer Screen without a Zoom Meeting Started

Are you conducting a face-to-face only meeting?
 
To display the computer when you are not hosting a Zoom meeting, tap the “Share Content” icon on the front panel.

Default Camera Setting

When you begin a meeting, the default camera setting is to display the back camera which is located above the two display monitors in the back of the room.  The view of that camera is set to option 2 which is a wide view of the room. 

Switching between the Front and Back Cameras

Changing the camera selected (front versus back camera,  is an option found on the main front panel.  To change between cameras,  click the three dots in  found on the meeting control which is located on the bottom middle of the screen. ​This will bring up the option to control the camera or switch cameras. The remote is only used to switch the views of a particular camera.

Helpful Tips

The iPad located on next to the door, can be used to manage your meeting in much the same way as the front panel.  The most often used icons are available on one screen (see above). 

Network/Zoom Room Disconnect
If you receive a message that you cannot connect to the Zoom Room or a “connecting to the internet” message that won’t go away, Try “retry/reconnect”.  If this does not work, contact someone in the ELRI office suite (WH 129) or Tech Help Desk (257-5300). This sometimes requires rebooting the Zoom Room computer which is located in the ceiling.

Orange/Purple Screen or “No Signal”
If you walk in to a large orange/purple screen or a black screen with the words “No Signal,” you need to change the source being viewed.  To do this, click the physical button on the panel with an icon that looks like a box with an arrow.  This will bring up source options.  Select HDMI 2 by using the arrows and then confirm by clicking the button that says “menu.”

Share Screen Missing
If the “share screen” icon is missing from your meeting controls, select the three dots.

Stop Screen sharing
To stop screen sharing, look on the bottom left of the screen display for the text “STOP SHARE.” Select and you will return to just the voice conference without the computer.

While in a Zoom meeting, tap the screen to access the meeting control bar which is located on the bottom middle of the screen. This gives you access to the following:
  • mute/unmute
  • video
  • share screen (speaker, gallery, content only)
  • meeting view
  • whiteboard (light/dark mode, multiple pages, can share pages through email of zoom contacts)
  • additional options (three dots)
The additional options (three dots) reveals access to security, camera control, switch camera, manage participants, recording, chat, settings, and volume

The below steps with photos are included in the above “Room Setup”

  1. Turn on the lights.

    The podium computer should now be displayed on the left panel.

HoverCam Pilot
The computer podium in the front of the room is called a HoverCam Pilot. It not only allows you to share the screen on the panel and interact by touch, but it also includes a document cam and other software tools.  To learn more about the HoverCam Pilot, check out the Getting Started with the HoverCam Pilot on the Louisiana Tech Training Portal.
